PRACTICAL INFO

To make your arrival at the venue smooth and help you get everything ready for the registration badge pick-up and the meeting itself, find some practical information below.

1. Venue

The venue sits on a large campus in a privileged area of Lisbon, 5 minutes away from Bela Vista Park, Parque das Nações and the airport, with bus stops and an underground station (Chelas) on your doorstep.​

The Airport underground station is on the same line as ISEL and is only 6 stops away.

If you are coming by train or coach, you are sure to head to Estação do Oriente, now Lisbon’s major train, bus and metro station. Located at Parque das Nações, it’s 3 underground stops away from ISEL.

The venue underground stop is called Chelas (on the red line).

2. Registration

All registered delegates will receive a separate email containing a unique QR code. Please be prepared to scan this QR code at the registration area to receive your badge.

The registration desk will be located in Building P, right in front of the main entrance.

The registration desk can be reached at +420 724 566 445 (available during the meeting days – from 31 August to 5 September 2025).

Delegates who have not yet settled the registration fee in full will be asked to pay the amount due. Please note that the registration desk only accepts credit and debit cards (Visa, MasterCard). Cash payments are not accepted.

Please note that badges need to be always worn at the venue and related social events during the meeting.

If you lose your badge, please contact the registration desk. Kindly note that the emission of a new badge is charged with a 10 EUR administrative fee. It will not be possible to enter the conference without a valid badge.

3. Scientific Programme

Presentation Upload

Please note that it is not possible to present from your laptop in the lecture room. All presentations must be uploaded online or to the Speaker Ready Room.

There are two ways to upload your presentation:

1. Online Presentation Upload – RECOMMENDED

You may upload your presentation at any time before the event, but no later than 2 hours before your session begins. The presentation for an early morning session should be uploaded the day before.

Please ensure you upload the final version, as only one file can be uploaded. Technicians will review it for technical compliance.

If changes are needed after approval, you must re-upload your presentation at the Speaker Ready Room on-site.

If you wish to view your presenter notes during your presentation, please visit the IT staff at the Speaker Ready Room on-site to have them enabled. Otherwise, they will not be visible while you are presenting. 

2. Onsite at the Venue

Alternatively, if not uploaded online, you must upload your presentation at the Speaker Ready Room at the venue no later than 2 hours before the start of your session. The presentation for an early morning session should be handed over the day before.

Please hand over your presentation to the IT personnel at the Speaker Ready Room on a USB flash drive. You will be able to verify that your presentation is running smoothly.

The Speaker Ready Room will be located in Building P, room P.1.18.

Posters

The poster area will be located on Floor 0 and 1 of building G.

There are no dedicated poster sessions scheduled. Posters will be available for viewing during breaks.

The organizers will provide mounting materials and a card for authors to indicate the times they will be available at the poster for discussion.

Mounting Your Poster

  • Posters must be mounted before 10:00 on the mounting day.
  • Please ensure that you mount your poster on the board corresponding to the last 3 digits of your poster number.

Removing Your Poster

  • All posters must be removed by the owner of the poster by the end of the removal day by 18:30 (14:00 in case of Friday) .
  • All posters left behind will be removed and disposed of.

8. Other

Certificate of Attendance​

All registered delegates present on-site are entitled to receive a Certificate of Attendance. The certificate can be downloaded from the online services portal after the meeting.

Lunches and Coffee Breaks

Coffee breaks will be provided in Building P and in the atrium of Building G (Poster area) for all registered delegates on the main meeting days. Please note that lunches are not included in the registration fee. However, there will be two canteens in Building P and Building A where meals can be purchased. Additionally, a food truck with local specialities will be available in front of the building P – Registration area.

Internet

Free WiFi internet connection (Eduroam) is available in the venue. Please use your Eduroam login to use the WiFi.

​Insurance and Liability

The organisers will not be liable for any personal injuries sustained or for any loss or damage to the property or belongings of meeting participants, whether occurring during the conference or as a result of it. Participants are strongly recommended to seek insurance coverage for health and accident, lost luggage, and trip cancellation.
