How to Register

All participants must register via the Online Registration Form. If you have previously attended an event or submitted an abstract, you may already have an account. In this case, please sign in with this existing account. If you do not have any, create a new account.

Each participant will receive a registration number by email after submitting the Online Registration Form. The preferred method of payment is by online card payment. Payments completed by bank transfer can be processed only after receiving your registration number. Payment by bank transfer must include the registration number and participant’s name in the payment details.

All the above fees (except Abstract Submission) include local VAT 23%.

* To qualify for the PhD Student fee or the Undergraduate/Master Students fee, please provide proof/student status of the University (e.g. pdf copy of the original inscription at a university or attestation by a professor) in English. The participant must be a student during the duration of the IAGA/IASPEI 2025.

** Emeritus Participant fee is applicable for delegates over the age of 67.

*** Abstract Submission is an electronic service provided under EU VAT rules with a domicile in the Czech Republic (location of the Meeting Secretariat – C-IN).

All registration deadlines are applicable considering the local time (CET/CEST).

Please make sure to pay your registration fee before the deadline applicable for the selected registration type. If your payment is not received in due time, the later fee will be automatically applied. 

Unpaid or partially paid registrations will not be considered valid until paid in full.

All participants are kindly asked to confirm or pre-register for the following events via the Online Registration Form.

Cancellation Conditions

Registration Cancellations

  • Until 21 May 2025 – a 50 EUR administrative fee will be applied
  • Until 31 July 2025 – a 50 % cancellation fee will be applied
  • As of 1 August 2025 – no refund can be processed

General Cancellation Conditions

  • All cancellations must be notified in written form by email to the IAGA/IASPEI Meeting Secretariat.
  • Refund requests received after 1 August 2025 will not be considered.
  • For any change of delegate´s name, an administrative fee of 20 EUR will be charged. Such changes may be made no later than one week prior to the event.
  • Any changes to the final invoice (such as name, address, VAT number, etc.) may only be made within three days of the registration date and are subject to a 20 EUR fee.

All fees are to be paid in EUR, free of all bank charges. However, please confirm with your bank as to any possible charges from their side.

Please ensure the registered participant’s name and registration number are clearly stated in the bank transfer. Payments received without such details (name, registration number) cannot be easily identified and may not be valid.

Payment by bank transfer is available until 1 August 2025. After this date, all payments can only be made by credit/debit card.

Final Invoice

The final invoice can be downloaded from the Online Registration Portal three weeks after the registration is confirmed and paid in full. The final invoice will be issued based on the details provided during the registration process (step Contact/Invoice details)

Any change of such details (name, address, VAT number, etc.) is possible only within 3 days from the date of registration and is subject to a 20 EUR fee.

 

Other Information

Insurance

The registration fee does not include the participant’s insurance against accidents, sickness, cancellation, theft, property damage, or loss. Participants are advised to take out adequate personal insurance.

Invitation Letter

Delegates can download their invitation letter from their account in the Online Registration Portal once their registration is paid in full.

Certificate of Attendance

The Certificate of Attendance will be available for download in the Online Registration Portal after the Conference for all participating delegates.

Cancellation or Modification of the IAGA/IASPEI Meeting in appropriate circumstances

In appropriate circumstances, CZECH-IN s.r.o. reserves the right to alter or cancel the meeting without prior notice. This may e.g. include a change of time and/or venue. Any such decision shall be communicated as soon as reasonably practical. Appropriate circumstances may include circumstances beyond the reasonable control of CZECH-IN s.r.o. preventing or impeding the realisation of the meeting. For example, government action, war or hostilities, riot or civil commotion, plague, or other epidemics or health concerns such as SARS, bird flu, COVID-19, earthquake, flood, hurricane, cyclone, fire or other natural physical disasters, explosion, accident or breakdown, strike or other protest, lack of the usual means of transportation or terrorism or security concerns.

Data Privacy and Security

We take your privacy very seriously and to comply with European General Data Protection Regulation (GDPR) and other data protection consent requirements, we need you to confirm that you agree with our new Privacy Policy during the process of creating the account in our system. After creating your user account in our system, you can manage your information and protect your privacy and security via our Online Portal, which is now fully GDPR compliant. Visa application must be done up to middle of April 2025 with abstract confirmation in Early Bird.
